Safeguarding

How do I record a vetting decision?

Record that your community has completed its safety checks on a member, without storing any documents.

Vetting means the safety checks your community carries out before someone works with people who may be at risk. Vetting confirmations records your community's decision only. It never stores certificates or check results.

Before you start

The Safeguarding contact policy box at the top shows your community's jurisdiction and the confirmation it needs. Only an admin can choose the jurisdiction, so it is marked Admin only. Until one is chosen, you cannot record decisions, and every page of the Broker Panel shows a notice saying so.

Confirming a member

  1. Find the member. Use the search box or the Confirmation status filter.
  2. Press Confirm attestation. An attestation is a formal statement that the checks were done.
  3. Under Underlying certification scheme(s), choose the checks your community completed.
  4. In Certified scope, describe exactly what the decision covers, for example "befriending adults".
  5. Add Private broker notes if needed. Do not enter certificate numbers or check results.
  6. Set Community review due. After this date the confirmation stops counting until someone renews it.
  7. Fill in Authority membership expiry if the scheme has one.
  8. Tick the box to confirm the checks were done.
  9. Press Confirm safeguarding certification.

Renewing

When a confirmation has expired, the button says Renew confirmation. Follow the same steps.

Why it matters

Members who consider themselves vulnerable adults can be contacted only by coordinators and by members with a confirmed, in-date decision. Until you record vetting for someone, only coordinators can reach these members.

Never ask a member to send you a vetting document through messages, and never upload one. The checks themselves stay in your community's own process, outside this site.
This is done on the main website. The accessible site does not have this page.
