Keeping private notes about a member
Notes help brokers share context. Members cannot see them.
Notes let brokers and admins keep a shared record about a member. Members never see these notes.
Adding a note
- Open Members.
- Press the notes button on the member's row, or choose Notes from the three-dot menu. You can also use the Notes tab in the member's record.
- Choose a Category: General, Outreach, Support, Onboarding, Concern or Follow up.
- Type your note in the box.
- Press the send button.
Each note shows who wrote it and when.
Managing notes
- Pin note keeps an important note at the top. Only an admin can pin a note.
- Edit note corrects a note. Only an admin can edit a note.
- Delete note removes a note. Only an admin can delete one. If you wrote something wrong, add a new note that corrects it.
What to write
Write facts, not opinions. Good notes are short and useful to the next broker, for example: "Called 3 May. Prefers phone to email. Wants help finding gardening work."
Do not record vetting certificates, health details or other sensitive information in notes unless your community's rules say you may. A member can ask to see the information you hold about them.
This is done on the main website. The accessible site does not have this page.
